Stephen Lyons manages the QHSE Department of the GEM Group, comprising of three operating businesses focused on Construction, Joinery, and Development. Stephen needed a way to streamline his access to information for both tenders and projects that GEM had won. Stephen noted how GEM Group had an outdated system that would require a large investment to get to the place where they wanted to be. Stephen’s key focus was to find a system that could improve the ease, efficiency and quality of Health & Safety information, while reducing complexity and data duplication.
With this objective in mind, GEM Group set about looking for a solution with 3 key requirements: 1. It had to be easy to use within all levels of the organisation, 2. Solution needed to match current processes without significant changes, 3. Implementation needed to be quick and easy to avoid disruption of work.
One of the initial benefits Stephen identified with the cloud based software was in the implementation stage. Stephen noted that the training into the system was very important to him and his team. Another important factor was ensuring that there was as little disruption to work as possible. He felt this was done efficiently and quickly.
From the get go, Stephen greatly admired the flexibility of the system. He made it clear that it was excellent and has adapted to meet their business processes without actually having to specifically change the processes they had been used to before.
Stephen’s favourite and most noteworthy area that the Health & Safety software has benefited the GEM Group was that it successfully automated their audit function for both EHS and Quality Audits. They succeeded in achieving this by using Effective Software in conjunction with their offline application.
Another area Stephen and his team value, is the ability to see all of their reports and safety information in one place. Centralising their Health and Safety data was a key factor in switching to a software-based system and Stephen has been reaping the benefits. For instance, Incident Reporting & Claims Management has been implemented within the organisation to ensure all key health & safety information is in one place. This has directly improved the company’s reporting capabilities and is increasingly helping to reduce the overall cost of administration.
